Terms and Conditions
Booking Your Date
You (in these terms and conditions, the Customer or you) must confirm all bookings for an event where Sarah Kelly Fine Foods is providing catering services (in these terms and conditions, the event) in writing or email. A non-refundable deposit is required to secure the date of your event. Unless and until a deposit is paid, Sarah Kelly Fine Foods reserves the right to take other bookings on the same date.
All bookings are subject to minimum guest numbers, we will confirm these in writing to the Customer.
Sarah Kelly Fine Foods will provide a booking deposit figure to you in writing once your booking confirmation is received. This deposit will be deducted from the total event costs which Sarah Kelly Fine Foods will issue to you no later than one month prior to the event (please see our Payment terms below).
Payment methods available include bank transfer, debit card, credit card, cheque and cash. Note that credit card transactions will incur a 3% admin fee.
Once we receive your deposit, we will confirm this in writing either by email or by letter, together with details of your menu, a summary of the event and estimated costs based on the number of guests and selections made.
Variations to the Price
Where children are attending – if over 12 years of age they are payable at the same rate as adults, if under 12 years of ages they are chargeable at half the adult price (subject to minimum numbers mentioned above). Children under 3 years will be free of charge.
Any variation to menu selections for children must be discussed with us as soon as possible so menus can be revised accordingly.
25% deposit required from you to confirm the booking.
50% further payment required from you 30 days prior to the event date.
Remaining invoice balance paid in full by you no later than one week prior to the event date
Payment of Total Event Costs Prior to Event
Payment in full is required for all catering services to be provided by Sarah Kelly Fine Foods prior to the event. Sarah Kelly Fine Foods reserves the right not to provide services in the event that any sum due and payable prior to the event is not paid.
Final guest numbers must be confirmed no later than 30 days prior to the event.
Information provided at this point will be used to produce your total event cost invoice, arrange staff and co-ordinate with your venue. Once our final invoice is received by the Client payment of any and all remaining balance must be received no later than a week before the event. After final numbers have been provided we are happy to accept any increases in requirements however no reduction will be possible.
Should we be advised of any increase in guest numbers following payment, then we will raise an additional invoice following the event for these guests or extra food needed. In such circumstances, our additional charges will then become immediately due and payable by the customer.
In the unfortunate event of a booking having to be cancelled confirmation in writing will be needed from you, and your deposit will be retained and the following charges will be incurred
Cancellation received with less than 30 days’ notice prior to the event – 50% of total event cost.
Cancellation received less than 10 working days prior to the event – 100% of the total event cost.
The total event cost will be based on the numbers of guests scheduled, at the agreed price per head. We will charge to you any additional costs incurred in preparation of the event up until the time of cancellation. This is to cover any losses we may incur on administration costs, travel, supplies etc. We will discuss this with you in the event of cancellation.
Dietary Requirements and Allergies
We will endeavor to provide suitable adaptions to the customer’s menu for any guests with special dietary requirements or allergies. We cannot however take responsibility for any guests unless advised in advance (no less than 10 working days prior to the event).
Customer’s Food and Drinks
Sarah Kelly Fine Foods accepts no liability for any food supplied to the Customer by another caterer (or food products suppliers by the customer themselves) in additional to those arranged by Sarah Kelly Fine Foods.
Where the customer has made additional arrangements (for example, an evening hog roast) or has requested food to be prepared and left out for evening guests, Sarah Kelly Fine Foods will require you to complete a Food Disclaimer Form and return this prior to the event.
